Start with the role, not the resume
The most common mistake in hiring a virtual assistant is starting with candidates before the role itself is defined. Before you look at a single profile, write down what a typical week actually looks like: which tasks, how many hours, and what "done well" looks like for each one.
A VA hired to "help with admin" in general terms is far more likely to underperform than one hired specifically for calendar management, inbox triage, and CRM upkeep — not because the person is less capable, but because vague scope makes it hard for anyone to succeed.
Decide what you actually need to verify
A resume and a single video call tell you very little about how someone performs under real working conditions. At minimum, verify communication skills directly (not just on paper), confirm relevant tool experience for your specific stack, and check that their available hours genuinely overlap with when you need responsiveness.
A short paid trial task — even something as simple as organizing a sample inbox or building a mock schedule — reveals far more than another round of interview questions.
Plan onboarding before day one, not after
Even a highly capable VA needs context: your tools, your priorities, and how you like to communicate. Hires that fail in the first month often fail not because of skill, but because nobody set aside time to actually onboard them.
A simple onboarding checklist — accounts and access, a first-week task list, and a scheduled check-in at the end of week one — dramatically improves the odds a new hire is productive quickly.
